Frequently Asked Questions
What does your service cover?
We provide service on anything that you would expect involved payroll preparation. Specific areas that we cover
include check printing, signing, stuffing, and delivering. Each pay also includes the reports you choose. Our
courier delivers your packet in person or by mail if you are far away. We also prepare and submit all quarterly
and year end federal, state, and local tax monies and forms. We track all employee benefits including direct
deposit, 401k, PHEAA loans, wage attachments; vacation time and much more so you don’t have to… basically we
completely relieve you from all payroll related duties so you can focus on making money instead of spending it.
What is your typical payroll customer like?
We have an enormous range of different customers across all industry sectors. Our smallest payroll customer
has only four employees, whilst our biggest has over two hundred. The difference is that for smaller customers
we tend to look after everything, whereas with larger customers we tend to provide specialist skills that compliment
the human resources department.
I only have a few employees so I handle it myself, won’t your service cost me more than I pay now?
Let’s do some rough math: let’s assume you only spend one hour per pay adding time cards and printing
checks. After wage, workers comp expense, and benefits, the average employee’s wage expense to perform
this task is about $15/hour. Our service charges $20 for up to 12 employees. $20-$15 =$5. Is $5 worth
not having to worry about taxes all year?
The system we currently use for payroll processing works fine now. If it “ain’t” broke why should I fix it?
Because you may be missing an opportunity to save your company literally thousands of dollars per year and look
like a hero. We understand the value of a well working system; it’s what has kept us in business for the last 34
years making us one of the oldest and most experienced services available today.
I haven’t budgeted for a payroll service, how can I justify this?
You already have the money budgeted, just in a different way. As in any size business; today time has replaced
money as our currency. Simply put: As an employee or business owner; time spent on tasks that cost the company money
not only increase a company’s expense, they use time that could have been spent on ideas or tasks that make the company
money. Are you in business to save money or make it?
Do you provide time and attendance tracking?
We have many options available that further streamline payroll processing and save you time. These include: Time clocks
and software that summarize all punch data for you. Remote location employee punch data tracking is also available.
How do you charge for tax services?
A basic quarterly fee entitles you to our full tax service as well as any human resource advice. In addition, it is
common for payroll companies to charge for W-2’s that are issued at the end of the year to all employees. You’ll find
our rates by far the least expensive in our industry. Think of the charge as being insurance for one of your organization’s
most valuable assets, a smooth operating payroll.
Why do you charge a quarterly fee?
Providing effective payroll tax support is an important task that requires that we collect your tax monies throughout
the quarter. We need to keep detailed records of what has been collected and reported so that we can respond quickly and
safely when the government requests. Because we sign off on your tax returns, we assume the responsibility for incorrect work.
And of course we have to provide sufficient resources so that we always have someone available for you to speak with when you
call. All of this costs us money, whether or not you have a problem at any given time. We try to keep the monthly fee as low
as we can without sacrificing quality or responsiveness.
Are you expensive then?
We – and presumably our existing payroll customers – don’t think so. There are payroll service providers that charge less than
we do, and those that charge an awful lot more. We are positioned at the top of the market in terms of quality, and almost at
the bottom in terms of cost. We’re certainly a lot cheaper than six years of tax mistakes or a day spent frantically preparing
the quarterly tax return on the day it’s due. We have come across accounting systems that were so inaccurate the entire business
was hanging by a thread. What price would you put on your business?
How do you respond to mistakes?
It’s simply unrealistic to expect your employees to perform flawlessly and since payroll is a crucial business aspect it’s equally
unrealistic not to have checks on time and for the proper amount. Because we are a local company, corrections are handled as top
priority superseding all other tasks. You can be sure that we will not leave you hanging.
How quickly can you fix mistakes?
Emergency response times can be as low as half a day. Note that these are contractual response times and so represent best-case scenarios;
we do prioritize emergencies and we respond to all emergencies as soon as possible.
What is different about you?
34 years experience can’t be bought, sold or traded. Our strength is best summarized in the phrase: “Erie, that hometown touch.”
As a local Erie business, we know first hand what it means to live, work, and play in the Erie community. Personal service in an “Erie way”,
unique to your company is what we do best.
What else is different about you?
No grey areas, no finger-pointing, and a pragmatic approach to problem-solving. We see many customers who have been suffering with some sort
of problem for months. We don't operate like that. In most cases our customers don't especially care where the problem lies; they just need
it fixed. We operate on a "fix it first; discuss it later" basis and we try to avoid grey areas and finger-pointing at all costs.
Anything else?
Over the years we have built up a good understanding of our customers, and what they want from a payroll provider. The things they want are
honest objective advice, reliability, effectiveness, value for money and accountability. These attributes are getting rarer in today's
cut-throat, short-term profit obsessed climate - and that's what makes us different. We still believe in the old principles of looking after
customers, and building long term relationships.
